The short answer
As soon as your ceremony venue and date are confirmed. That single step is the moment your transport can be priced properly, and it is also the moment your preferred car can be held for you. Couples who wait until the final few months still find cars, but they often lose the first choice, particularly for the Rolls-Royce Phantom on a summer Saturday.
There is no penalty for enquiring early. A White 7 quote is fixed and comes with no obligation, so asking for a price the week you book the venue simply gives you a firm number to put into the budget.
Why some dates go first
Our fleet is deliberately small: one Rolls-Royce Phantom, a Mercedes S500 long-wheelbase saloon, a seven-seat Mercedes V-Class and an Audi A6. That keeps every car immaculate, but it also means each car can only be in one place at a time. Saturdays between late spring and early autumn, bank holiday weekends and popular dates in the calendar tend to be requested first.
Asian weddings add another layer, because celebrations frequently run over several days. If you need the same car and chauffeur for a mehndi, a baraat and a reception, those dates need to be secured together, and that is much easier with plenty of notice.
What to have ready before you enquire
You do not need every detail, but a few facts let us give an accurate fixed price straight away: the date; the address where the bride or couple will be collected; the ceremony venue; the reception venue; roughly how many people need to travel; and whether you want a single car or a second vehicle for bridesmaids or parents.
Timings can be approximate at this stage. Knowing that the ceremony starts at two o'clock is enough; the minute-by-minute plan is agreed closer to the day.
What happens after you book
Once you confirm, the car and chauffeur are reserved for your date and our booking terms apply. In the weeks before the wedding we check the itinerary with you: collection time, any photograph stops, the transfer to the reception and the ribbon colour. Ribbons are included with every wedding booking, and floral dressing can be arranged if you mention it.
If your plans change, for example the ceremony moves by an hour, tell us as early as you can and we will adjust the schedule. The sooner we know, the easier it is to accommodate.
A simple planning order
Couples often ask where transport fits among everything else. A practical order is: secure the ceremony and reception venues, confirm the date, then enquire about the cars in the same week you book your photographer. Those two suppliers work closely on the day, and knowing which car is arriving helps the photographer plan their shots.
Next, decide how many people need moving at the same time. A single car suits many weddings, but a larger bridal party may need the seven-seat V-Class as well. Finally, settle the timings loosely: when the bride leaves home, when the ceremony begins, and roughly how long the reception venue is from the ceremony. That is all we need to hold a car and give a fixed price.
Keep a note of your booking confirmation with your other supplier details. Having every supplier's number in one place saves the best man or a parent hunting for it on the morning.
